Your data
Privacy Notice & document retention
How your uploaded ID and notarization files are collected, used, stored, shared and deleted.
Last updated 6 November 2026
Who is responsible
JasFus Labs / H.M. Group Limited, operates Virtual Notary Pro and is the data controller for the personal data described here. Contact: himna.mclaughlin.16@gmail.com.
What we collect and why
- Documents you upload — to perform the notarization you ordered (contract).
- Passport or government ID photo, ID number — to verify your identity, as notarial law requires (legal obligation, contract).
- Name, email, WhatsApp number — to run your order, hold the video call and deliver documents (contract).
- IP address, payment and verification times — printed on the notarial certificate and kept for security and fraud prevention (legal obligation, legitimate interests).
- Notary account login details — only for staff accounts, to protect access (legitimate interests).
How your files are stored
Files go straight from your browser into private, encrypted storage using a one-time upload link. No file has a public web address, and nobody can browse or list storage.
Who can see them
Only the commissioned notary can open your documents and ID, after signing in to a protected account. The notary may use an automated check to spot unreadable pages or blank signature and date fields; images sent for this check are not stored by the AI provider.
Every important action on your order (created, paid, verified, sealed, links sent) is logged with a date and time.
Who we share data with
- Paddle, our Merchant of Record, for the sale, payment processing, tax compliance and invoicing. Paddle collects your payment details directly; we never see your card number.
- Service providers who host our app and storage, provide the video call and the automated document check.
- Professional advisers (legal, accounting) where needed.
- Authorities, where the law requires it.
Delivery links
Sealed documents are sent as private download links that expire after 7 days. If a link expires, ask us and the notary can issue a new one.
Retention & deletion
We keep your uploads, ID photo and sealed documents only as long as needed to complete your notarization and meet notary record-keeping duties. After that they are deleted or anonymised.
You can ask us to delete your files at any time by emailing himna.mclaughlin.16@gmail.com with your order reference (it starts with VNP-). Where the law requires the notary to keep a record, we will tell you what has to stay and for how long.
Your rights
Depending on where you live, you may have the right to access, correct, delete or restrict use of your data, to object to processing, to receive a copy of it, and to complain to a data-protection authority (in the Cayman Islands, the Ombudsman). Email himna.mclaughlin.16@gmail.com to use any of these rights.
Security
We use appropriate technical and organisational measures, including encryption, private storage, role-based access limited to the notary, and an audit log of actions on each order.
Cookies
We only use essential cookies and browser storage needed to keep the notary signed in and to run checkout. We don't use advertising or analytics cookies.
